Sharing Digital Signage Graphics

As a digital signage manager, you post and manage the content for your sign or signs. While there are campus-wide announcements that sometimes run on all signs, on the whole, it's the manager who places the content on the signs. This doesn't mean you have to start from scratch! There are some stock slides available to you in Digital Signage Resources, and there is also a shared dropbox which managers across campus can submit to. You can for content you'd like to add to your sign; adding content from the dropbox is wholly optional and is up to the manager.

How to Use the Shared Signage ›

All signage graphics are named with a specific format to make using the graphics easy use.

Office_File-Name_DateTemplate (for example: Career_Career-Guide_17SEP2024h)

Office: This is the name of the office that submitted the graphic.

File Name: This is the name of the file, describing what it's about.

Date: This is the date the graphic should leave your sign. When you're adding the graphic to your sign, set this date as the end date.

Template: At the end of every file name, there will be a letter to indicate which layout this graphic is designed to fit. h = standard horizontal, v = standard vertical, and f = fullscreen. If you're not sure what template your screen uses, just ask!

Submission Guidelines ›

All signage across campus must meet the following guidelines:

      •  Signage must be in relation to a department on campus and be advertising something for the Â鶹¹û¶³´«Ã½ community.
      •  No outside vendors or advertisers can be posted on Â鶹¹û¶³´«Ã½ digital signage.

Additionally, signage submitted to the shared dropbox must meet the following standards:

      • JPG, PNG, or PDF in format;
      • Utilize RGB colors;
      • Meet minimum size requirements for the following sign layouts:
          • 1920x950 for standard horizontal signs,
          • 1080x1790 for standard vertical signs,
          • 1265x950 for 2-column main sections, and
          • 3840x2160 for full screen 4K signs (such as the RUC video wall)

Keep in mind that signage that is submitted to the shared digital signage dropbox is not guaranteed to run on all signs; utilizing signage from the dropbox is optional and up to the sign manager. All submissions should be submitted at least two weeks before the start date of your graphics to allow for processing, allow us to notify sign managers about your graphics, and give the sign managers time to add the graphics to their signs before the start of the event. If you'd like to have your graphics run ahead of the event, they should be submitted even earlier.
